Hillingdon Theatres take great care over customer contact details, gathered from those booking advance tickets, in order to;

1) Process the Booking

This allows us to authorise payments, identify bookings if tickets are lost, or need to be swapped from one performance of a show to another, and to find out statistical information about audiences, such as which areas of the borough (and beyond), our audiences come from.

2) Communicate unavoidable changes to the Booking

This allows us to inform customers ahead of their visit, should any important details about they event they have booked change. This may include changes to the start time, the venue, the event date or that the event has been cancelled.

Mailing Lists

With your permission, we also send customers information about future events in Hillingdon. This is done either by POST (for Hillingdon residents) or by EMAIL.  We ask permission from all booking online, and from those not already on our database, booking in advance, either in person or over the phone.  This mailing permission can be changed and / or your details can be removed from our database, at any time, by request to the box office.  Once added, Hillingdon Theatres retains customer contact and mailing preference information, so customers can avoid having to repeat the process each time they book, and to avoid duplicate records when customers add their own details during online booking. After 5 years without a booking, patron's identifiable data is removed from our database.

Data Retention and Security

Hillingdon Theatres will not sell or share customer data to 3rd parties.  Hillingdon Theatres' Volunteer Box Office operators receive regular Data Protection Training through Hillingdon Council and do not have access to customer's payment card details, beyond processing the payment at the point of sale.  Customers that have not returned to book within 5 years of their first booking, will become anonymous, statistical records. This conversion will be an annual process undertaken by the Box Office Manager.  The London Borough of Hillingdon, our ticketing system providers, tickets.com and our online payment service provider, Mastercard Payment Services are also all bound by Data Protection regulations.

If you have any further questions about your data in our care, please contact the box office on 01895 250615 or email boxoffice@hgfl.org.uk
